Coffee Break | Events Coordinator (Part-Time)
Location: Huntsville, AL
Schedule: 20–25 hours/week, mix of weekdays and weekends. Consistent Saturday mornings, and seasonal Thursday afternoons.
Pay: $18–$22/hour
About Us
Coffee Break is a specialty coffee roaster located in Huntsville. We're focused on elevating local coffee craft, providing coffee education, and supporting activities that help people connect with this beautiful place we call home. Whether it's a farmers market, a private catering gig, or coffee classes at our Roastery, our goal is to make extraordinary coffee more accessible, more intentional, and more community-driven.
What You'll Do
You'll be the backbone of Coffee Break's events program — planning, coordinating, and executing experiences that put us in front of our community. This includes hosted events, market events, pop-ups, catering engagements and event sponsorships.
This isn't just about showing up to events (though you'll do that too). You'll own the logistics, serve as our day-to-day point person, follow-through on commitments, and make sure our hosted classes & events run smoothly.
Event Planning & Coordination
- Manage our events resources and calendar. We have some standing commitments, and you will work to supplement those with meaningful event engagements.
- Manage catering inquiries from first contact through execution — quotes, timelines, logistics.
- Coordinate class schedule, registration, and event logistics. Work with the founder to ensure curriculum is dialed in, and we have proper resources & expertise available to create magical experiences.
- Build and maintain relationships with market organizers, venues, and repeat customers.
Event Execution
- Transport equipment and inventory to/from events (requires reliable vehicle)
- Set up and break down booth displays, brewing stations, and catering setups
- Greet customers, offer samples, answer questions, and represent the Coffee Break brand with enthusiasm
- Ring up orders, handle payments, and track daily sales
Behind-the-Scenes Operations
- Track and manage event inventory and equipment to ensure it is well maintained, stored properly, and we're always prepared
- Follow up with customers and partners promptly and professionally
- Support social media promotion of upcoming events and post-event recaps
- Keep detailed records and communicate clearly with the owner about schedules, budgets, and opportunities
You'll work closely with the owner, who will provide strategic direction, brand oversight, and serve as lead coffee educator at events. Your job is to own the details, solve problems as they come up, and make sure nothing falls through the cracks.
Who You Are
- Experienced Coordinator: You've planned or managed events, worked in hospitality, or coordinated logistics in a fast-paced environment — and you're comfortable juggling multiple commitments at once.
- Customer-Focused: You're equally comfortable chatting with a Saturday morning market crowd and drafting a professional email to a catering client.
- Reliable & Self-Directed: You show up on time, follow through on what you commit to, and don't need to be micromanaged.
- Physically Capable: Able to lift and maneuver equipment up to 70 lbs (including espresso machine for catering events), stand for several hours, and work outdoors.
- Organized Communicator: You reply promptly, keep clear records, and stay on top of multiple deadlines without things slipping.
- Driven by Craft & Community: Coffee experience isn't required, but you should genuinely care about what we're building and who we're building it for.
Compensation & Perks
